Position: Client Services Coordinator

About Us:
Our estate planning and probate law firm is dedicated to providing exceptional service and support to our clients. We are looking for a dedicated and professional Client Services Coordinator to join our team and ensure our clients receive the highest level of service.
Responsibilities:
Customer Experience:
Ensure customer experience meets or exceeds client expectations.
Greet clients and maintain their needs during onsite visits (e.g., water, coffee, etc.).
Customer Service and Clerical Duties:
Perform all customer service and clerical duties, including managing the front desk and handling all incoming calls.
Schedule all office appointments for staff and make confirmation calls for appointments.
Receive all incoming calls to the law firm, route to appropriate personnel, or resolve when possible.
Ensure client calls/emails are handled in a timely manner.
Client and Attorney Coordination:
Communicate with attorneys as needed regarding all client needs and/or questions.
Coordinate client financial and tax professionals’ requests for meetings or sharing information during law firm processes.
Enter meeting notes and all next actions from attorney meetings into the firm management system.
Follow-up on workshop email registrations through the website.
Client Management:
Update the calendar in client management software.
Update all client matters to reflect client services tasks.
Identify the source of all new firm contacts.
Real-time data entry and scanning of documents to client matters.
Ensure client needs are met.
Administrative Support:
Handle all firm standard correspondence and dictation/word processing by attorneys or staff.
Organize and stock the waiting area and conference rooms.
Create manual files as well as e-files.
Copy, file, scan, and maintain client files.
Prepare rooms for daily client meetings.
Obtain client payments to be processed by accounting.
Draft check requests and handle deposits/disbursements for client matters.
Maintain billing when required.
Sort mail, handle deliveries, and order office supplies.
Ensure correspondence is mailed in a timely manner.
Project and Event Management:
Identify, manage, and complete projects for attorney and client needs.
Plan and manage client events.
Team Participation:
Actively participate in staff calls and team meetings.
Complete projects or tasks as requested by the Supervisor within the allotted time frame.
Attend training events and other events as needed.
Adhere to firm-established core values.
Qualifications:
Strong customer service skills.
Excellent organizational and multitasking abilities.
Proficiency in office software and client management systems.
Effective communication skills, both verbal and written.
Ability to work independently and as part of a team.
Prior experience in a professional environment is preferred.
